Kōyi ("we", "us", "our") operates the koyi platform and related services. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our website, courses, Knowledge Hub, and planning tools. By using Kōyi, you acknowledge this policy.
1. Who we are
Kōyi is an educational technology platform serving learners in Ghana and West Africa. For privacy enquiries contact: privacy@koyi.com.
We are committed to compliance with applicable data protection laws, including Ghana's Data Protection Act, 2012 (Act 843) where applicable.
2. Information we collect
Account data: name, email, password (hashed), gender, role, and profile preferences when you register.
Learning data: course enrolments, lesson progress, quiz scores, certificates, notes, and achievements.
Usage data: pages visited, device type, browser, IP address, language preference, and cookies/session identifiers.
Communications: messages you send to support and feedback you submit.
Payment data: if you purchase paid courses, payment processors handle card/mobile money details — we do not store full payment credentials.
Planning tools: grades and interests you enter in the Grade Calculator are processed in your browser session. We do not permanently store calculator inputs unless you explicitly save them to your account in a future feature.
3. How we use information
We use personal information to: provide and improve our services; authenticate users; deliver courses and certificates; personalise content; send service-related notices; analyse usage to improve the platform; prevent fraud and abuse; and comply with legal obligations.
We do not sell your personal information to third parties.
4. Legal bases
We process data based on: performance of our contract with you (providing the service); legitimate interests (security, analytics, product improvement); consent (marketing communications where required); and legal obligation.
5. Cookies and similar technologies
We use essential cookies for authentication, session management, language preference, and CSRF protection. Analytics cookies may be used to understand aggregate usage. You can control non-essential cookies through your browser settings. Disabling essential cookies may limit platform functionality.
6. Sharing with third parties
We may share data with: hosting providers (e.g. Vercel, Cloudflare); database services; email delivery services; payment processors; authentication providers (Google OAuth if enabled); and analytics tools — each under data processing agreements where required.
We may disclose information if required by law, court order, or to protect rights, safety, and security.
7. International transfers
Your data may be processed in countries outside Ghana. Where we transfer data internationally, we implement appropriate safeguards consistent with applicable law.
8. Data retention
We retain account and learning records while your account is active and for a reasonable period afterward for legal, audit, and dispute resolution purposes. You may request deletion subject to exceptions (e.g. records we must keep by law).
9. Your rights
Depending on applicable law, you may have rights to: access your data; correct inaccuracies; request deletion; restrict or object to processing; data portability; and withdraw consent. Contact privacy@koyi.com to exercise these rights. You may also lodge a complaint with Ghana's Data Protection Commission.
10. Children's privacy
Kōyi serves learners of all ages including minors. Where users are under 18, we recommend parental or guardian supervision. We do not knowingly collect more information from minors than necessary to provide educational services. If you believe we collected a child's data improperly, contact us for deletion.
11. Security
We implement technical and organisational measures including encryption in transit, hashed passwords, access controls, and secure hosting. No system is completely secure — please use a strong unique password and report suspected breaches to privacy@koyi.com.
12. Changes to this policy
We may update this Privacy Policy. Material changes will be posted on this page with an updated date. Continued use after changes constitutes acceptance.
